The problem

What slows a cafe counter down

A cafe queue is judged in seconds. The ordering flow itself is usually the bottleneck, not the coffee machine.

  • Customisation on almost every drink

Size, milk, sugar, shots, hot or iced. If each option takes a menu dive, ordering takes twice as long as it should.

  • Orders collected out of sequence

Without tokens or a display, customers crowd the counter asking whether their drink is ready.

  • Food and drinks with different timings

A sandwich and a latte come from different stations and need to arrive together.

  • Loyalty handled informally

Punch cards and verbal promises get lost, so repeat customers are never actually rewarded.

  • Wastage that nobody records

Remade drinks, spoiled milk and staff consumption quietly erode a good margin.

Why this solution

Why cafes choose OfflinePOS

Cafe POS optimises the two things that matter at a cafe counter, order speed and collection flow, and adds the costing and wastage tracking that protects your margin.

  • Drink modifiers on the main order screen, not buried in menus
  • Automatic token numbers with a collection display
  • Barista display sequencing drinks in order
  • Recipe costing including milk, syrups and cups
  • Wastage and staff consumption recorded properly
  • Loyalty and repeat customer recognition

Built for cafe / coffee shop businesses

Cafes live on short tickets, heavy customisation and a queue that must keep moving. Cafe POS is built for speed: customisation in two taps, token numbers, and a barista display that keeps the bar in sequence.

How it works

A day in the system

From stock arriving to the day closing, this is the loop your business runs every day.
  1. 01

    Build the menu

Set up drinks with their sizes, modifiers and recipes, including packaging cost.

  2. 02

    Take the order

Tap the drink, tap the options, take payment and issue a token, usually under fifteen seconds.

  3. 03

    Prepare in sequence

The barista display shows drinks in order with timing, so nothing is skipped.

  4. 04

    Call and collect

Mark ready and the collection display calls the token, keeping the counter clear.

  5. 05

    Record wastage

Log remakes, spillage and staff drinks so the stock figure stays honest.

  6. 06

    Close the shift

Reconcile cash and review hourly sales, item ranking and margin.

Reporting

The numbers you will actually look at

Every report is available on screen, as PDF and as Excel, for any date range you choose.

Reports run against your local database, so they open instantly and work whether or not you have a connection.

  • Hourly sales and peak period analysis
  • Item-wise sales and margin ranking
  • Modifier and add-on uptake
  • Ingredient consumption versus stock
  • Wastage and remake report
  • Average ticket value and items per order
  • Loyalty customer activity
  • Shift-wise cash reconciliation
  • Daily sales summary
  • Food versus beverage split
Offline-first architecture

Cafe POS keeps working when the internet does not

Your business should not stop because your connection did. Here is what offline-first means in practice.

The terminal holds its own data

Products, prices, customers, stock positions and settings live on the machine at your counter. A sale reads and writes locally, so nothing in the billing flow waits on a server response.

Sales complete without a connection

Scanning, billing, discounting, printing, returns and stock updates all work with the network unplugged. There is no queue of "pending" transactions holding up the counter.

Terminals reconcile when connectivity returns

When the shop network or internet comes back, terminals exchange the transactions recorded while they were isolated, and the back office reflects the complete picture.

Connectivity is used, not depended on

When you do have a connection, it powers off-site backup, remote reporting and multi-branch consolidation. None of those are required to make a sale.

Cafe POS runs on your counter machine and communicates with your barista display over your local network. Ordering, preparation and payment continue uninterrupted regardless of internet availability.

What changes

The difference after a few weeks

Not features, outcomes. This is what businesses tell us actually changes once the system is running properly.

A queue that keeps moving

Modifiers on the main screen remove the biggest delay in cafe ordering.

No crowding at the counter

Tokens and a collection display let customers wait comfortably instead of hovering.

Margin you can defend

Recipe costing including cups and lids shows the true cost of every drink.

Wastage becomes visible

Recorded remakes and spoilage turn an invisible leak into a manageable number.

Peak hours never stall

The counter runs locally, so a connectivity drop does not become a queue.

FAQ

Cafe POS questions

Something specific to your setup? Ask us. We would rather tell you honestly whether we fit than sell you the wrong thing.

How fast can staff take a customised order?

Size, milk type, sweetness and extra shots sit on the same screen as the drink, so a customised order is typically three or four taps. There is no navigating into sub-menus for common options.

Do you support token numbers and a collection display?

Yes. Each order is assigned a token, and a customer-facing display shows which tokens are ready, which keeps the collection point orderly during peak hours.

Can I track milk, beans and syrup consumption?

Yes. Recipes attached to each drink consume ingredients from stock as drinks are sold, including packaging, which gives you both a live stock position and a true cost per cup.

Can I run a loyalty programme?

Yes. You can run points-based or visit-based rewards against customer profiles, so repeat customers are recognised automatically at the counter.

Does it work offline?

Yes. Ordering, the barista display and payment all operate on your local network with no internet requirement.
