The problem
Why wholesale is harder than retail
In retail, the transaction ends when the customer pays. In wholesale, the transaction begins when the goods leave, and it can take six weeks to close.
Every party has a different rate
Rates depend on volume, relationship and history. When rates live in the owner’s head, a salesman cannot invoice correctly and mistakes cost real margin.
Recovery is the actual business
Sales are easy to make on credit. Knowing who owes how much, since when, and against which invoice is what separates a healthy wholesaler from one running out of working capital.
Part-payments break manual records
A party pays 40,000 against three invoices totalling 118,000. Applied incorrectly, the ledger drifts and neither side agrees on the balance a month later.
Units that keep converting
You buy in cartons, sell in dozens, and occasionally sell single pieces. Stock in one unit and sales in another produce numbers nobody trusts.
Two-sided ledgers
You owe your suppliers while your parties owe you. Both sides move constantly, and cash planning depends on seeing them together.
Why this solution
Why wholesalers choose OfflinePOS
Wholesale POS was designed from the party ledger outward. Invoicing, stock and reporting are built on top of an accounting core that keeps both receivable and payable correct at all times.
- Party-wise rate lists applied automatically on the invoice
- Credit limits and terms enforced at the point of sale
- Payments applied against specific invoices, with clean balances
- Multi-unit stock with automatic conversion
- Receivable and payable ageing in one view
- Full operation offline, godown and shop connectivity is rarely reliable
Built for wholesale / distribution businesses
Wholesale is a credit business, and the invoice is the easy part. Wholesale POS is built around party ledgers, rate lists, partial payments and recovery, so you always know exactly what every party owes and why.

How it works
A day in the system
- 01
Set up parties and rates
Record each party with its rate list, credit limit and payment terms. Rates then apply automatically on every invoice.
- 02
Receive stock
Enter purchases from suppliers or principals with landed cost, and stock lands in the right godown.
- 03
Take the order
Create a sales order, check availability and credit standing, and generate a delivery challan for dispatch.
- 04
Invoice on credit
Convert the challan to an invoice with the party’s terms and due date. The receivable posts to their ledger immediately.
- 05
Collect recovery
Record cash or cheque receipts against specific invoices. Balances and ageing update instantly.
- 06
Reconcile and plan
Review ageing, chase overdue parties, and plan supplier payments against expected recoveries.
Reporting
The numbers you will actually look at
Reports run against your local database, so they open instantly and work whether or not you have a connection.
- Party-wise outstanding and ageing
- Recovery received by date and by collector
- Overdue invoice follow-up list
- Sales by party, item and area
- Gross margin by item and by party
- Purchase register and supplier payable ageing
- Stock position by godown with valuation
- Sales order versus dispatch status
- Cheque and post-dated payment schedule
- Cash and bank position summary
Wholesale POS keeps working when the internet does not
Your business should not stop because your connection did. Here is what offline-first means in practice.
The terminal holds its own data
Products, prices, customers, stock positions and settings live on the machine at your counter. A sale reads and writes locally, so nothing in the billing flow waits on a server response.
Sales complete without a connection
Scanning, billing, discounting, printing, returns and stock updates all work with the network unplugged. There is no queue of "pending" transactions holding up the counter.
Terminals reconcile when connectivity returns
When the shop network or internet comes back, terminals exchange the transactions recorded while they were isolated, and the back office reflects the complete picture.
Connectivity is used, not depended on
When you do have a connection, it powers off-site backup, remote reporting and multi-branch consolidation. None of those are required to make a sale.
Wholesale premises are usually godowns and market shops, not offices with reliable fibre. Wholesale POS runs entirely on your own machines, invoicing, ledgers, stock and printing continue through any outage, and multiple terminals reconcile with each other when the network returns.
What changes
The difference after a few weeks
Working capital under control
Ageing and recovery reporting turns receivable from a vague worry into a list you can act on every morning.
Correct rates every time
Party rate lists remove the single biggest source of margin leakage in wholesale, invoicing at the wrong price.
Undisputed balances
Because every payment is applied against specific invoices, your ledger and the party’s ledger agree.
Salesmen can invoice safely
Credit limits and rate rules are enforced by the system, so staff can raise invoices without risking your terms.
Stock that reconciles
Multi-unit conversion means cartons in and dozens out still leave a stock figure that matches the godown.
