The problem

What workshops lose track of

Work happens on the floor, but billing happens at the desk, and the gap between them is where workshop revenue disappears.

  • Parts fitted but never billed

A mechanic takes a part from the store for a job and nobody records it. It appears later as a stock shortage rather than as revenue.

  • Labour charged inconsistently

Without standard labour rates per job type, the same work is billed differently by different service advisors.

  • Estimates that drift

Additional work is discovered during the job, and if the customer is not informed and the estimate not revised, the final invoice becomes a dispute.

  • No vehicle history

A customer returns and nobody can tell what was done last time or which parts were fitted.

  • Jobs sitting for parts

Vehicles wait for parts to arrive with no visibility into which jobs are blocked and for how long.

Why this solution

Why workshops choose OfflinePOS

Auto Workshop POS makes the job card the centre of the system, so every part issued and every hour worked attaches to a vehicle and ends up on the invoice.

  • Job cards from vehicle intake through to delivery
  • Parts issued from stock directly against the job
  • Standard labour rates by job type
  • Estimates with customer approval and revisions
  • Vehicle service history by registration number
  • Job status board showing what is blocked and why

Built for auto workshop businesses

A workshop invoice is parts plus labour against a specific vehicle, and the customer will be back in six months. Auto Workshop POS runs job cards from intake to delivery and keeps a full service history per vehicle.

Complaints, parts, labour and status for one vehicle.

How it works

A day in the system

From stock arriving to the day closing, this is the loop your business runs every day.
  1. 01

    Receive the vehicle

Open a job card with registration, make, model, mileage and the customer’s reported complaints.

  2. 02

    Inspect and estimate

Record findings, build an estimate of parts and labour, and get the customer’s approval before starting.

  3. 03

    Issue parts

Parts are issued from stock directly to the job card, so nothing leaves the store unrecorded.

  4. 04

    Record labour

Labour lines are added at standard rates by job type, with the technician assigned.

  5. 05

    Revise if needed

Additional work found during the job is added to the estimate and re-approved before proceeding.

  6. 06

    Deliver and invoice

Produce a single invoice for parts and labour, take payment, and record delivery with a gate pass.

Reporting

The numbers you will actually look at

Every report is available on screen, as PDF and as Excel, for any date range you choose.

Reports run against your local database, so they open instantly and work whether or not you have a connection.

  • Open job cards and status board
  • Job profitability with parts and labour split
  • Technician productivity and utilisation
  • Parts consumption by job type
  • Vehicle service history and due reminders
  • Estimate versus final invoice variance
  • Customer and fleet outstanding
  • Parts stock and low-stock alerts
  • Daily revenue by parts and labour
  • Pending delivery and blocked job report
Offline-first architecture

Automobile Workshop POS keeps working when the internet does not

Your business should not stop because your connection did. Here is what offline-first means in practice.

The terminal holds its own data

Products, prices, customers, stock positions and settings live on the machine at your counter. A sale reads and writes locally, so nothing in the billing flow waits on a server response.

Sales complete without a connection

Scanning, billing, discounting, printing, returns and stock updates all work with the network unplugged. There is no queue of "pending" transactions holding up the counter.

Terminals reconcile when connectivity returns

When the shop network or internet comes back, terminals exchange the transactions recorded while they were isolated, and the back office reflects the complete picture.

Connectivity is used, not depended on

When you do have a connection, it powers off-site backup, remote reporting and multi-branch consolidation. None of those are required to make a sale.

Workshops are workshops, not offices. Auto Workshop POS runs on your own machines so job cards, parts issue and invoicing work regardless of connectivity, which matters when the store and the reception desk are in different parts of the building.

What changes

The difference after a few weeks

Not features, outcomes. This is what businesses tell us actually changes once the system is running properly.

Every part billed

Issuing parts against a job card closes the largest leak in workshop revenue.

Estimates that hold

Documented approval and revision protect both the customer relationship and your invoice.

Service history that sells

Knowing what was done last time makes the next service faster and builds real customer loyalty.

Visible workshop floor

A job status board shows exactly which vehicles are blocked and for what.

Technician performance measured

Productivity reporting shows which technicians complete work efficiently.

FAQ

Automobile Workshop POS questions

Something specific to your setup? Ask us. We would rather tell you honestly whether we fit than sell you the wrong thing.

How does a job card work?

A job card opens when the vehicle is received, capturing registration, make, model, mileage and reported complaints. Parts issued and labour performed are recorded against it as work progresses, and it becomes the invoice at delivery, so nothing is billed that was not recorded and nothing recorded is left unbilled.

Can I give the customer an estimate first?

Yes. An estimate of parts and labour is produced for approval before work begins, and if additional work is found, the estimate can be revised and re-approved with a record of both versions.

Does it keep history for each vehicle?

Yes. Vehicles are tracked by registration number, with a full history of past jobs, parts fitted and services performed, which also drives service-due reminders.

Can parts be issued from stock to a job?

Yes, and this is central to the design. Parts move from stock to the job card, unused parts can be returned, and the invoice reflects exactly what was fitted.

Can I bill insurance or corporate customers?

Yes. Fleet, corporate and insurance work can be billed to an account with its own ledger and settlement terms.

Does it work without internet?

Yes. All job card, stock and billing operations run locally.
